Facilities management for block management and landlords in Leeds and Yorkshire

A residential block is somebody's home, and the shared parts are paid for through the service charge. That changes how the work is judged. Leaseholders see the entrance hall, the lift lobby and the bin store daily, and they want to know what their money has bought. The managing agent sits in the middle, answering to directors, residents and the freeholder, often for dozens of buildings at once and rarely on site.

Leeds has a wide spread of blocks. City centre apartment buildings along the waterfront have concierge desks, basement car parks and refuse rooms. Converted houses in Headingley and Chapel Allerton have a single staircase and a patch of front garden. Purpose-built estates in the suburbs come with lawns, parking courts and drying areas. Each type needs its own specification, because a list written for a tower does not suit a converted villa.

Agents, RTM directors and landlords need evidence more than anything. A dated report with photographs shows that the visit took place and what was found. It answers the resident who says the stairs have not been cleaned, and it supports the service charge accounts at year end. We write reports in plain language so they can be forwarded to leaseholders as they stand, with no editing.

How the services apply

Communal cleaning

Halls, stairs, landings and lift cars are vacuumed, mopped and dusted to a specification agreed with the agent.

Window cleaning

Communal glazing and the outside of apartment windows are cleaned on a published rota residents can be told about.

Grounds maintenance

Gardens, car parks, paths and boundaries are kept tidy with mowing, pruning, weeding and leaf clearance.

Waste management

Refuse rooms and bin stores are cleaned, dumped items are reported and containers are set out for collection.

Commercial handyman

Minor jobs in the common parts are gathered into a single visit to keep costs to the service charge sensible.

Reactive repairs

Damage reported by residents or found on a visit is logged, photographed and sent to the agent for approval.

How a contract is set up

1. Inspect the block

We visit with the property manager or a director, walk every shared area inside and out, and compare the existing specification with what the building actually needs.

2. Agree the specification

The task list, visit days and reporting format are set out in writing, so the agent can show residents exactly what the service charge pays for.

3. Work with residents in mind

Visits are timed to avoid early mornings and late evenings, notices are posted before window cleaning or noisy work, and operatives keep stairs and exits clear while they work.

4. Report after each visit

A dated report with photographs goes to the agent after each attendance. Defects, fly-tipping and items needing approval are listed separately so decisions can be made quickly.

Block Management & Landlords: common questions

  • Yes. We take instructions from managing agents, right to manage companies, residents' management companies and individual landlords. Where directors are volunteers, we keep the paperwork simple and the reports short, so the board can see what has been done without reading a long document.
  • They are written for that purpose. Each report is dated, lists the tasks completed and includes photographs of the areas attended and any defects found. The language is plain, with no trade jargon, so an agent can forward it to residents or attach it to a meeting pack.
  • We attend blocks in the city centre, the inner suburbs such as Headingley, Chapel Allerton and Roundhay, and the outer districts. Agents with portfolios spread across other Yorkshire towns can place those buildings on the same contract with the same reporting.
  • Dumped furniture, mattresses and bagged waste are photographed and reported to the agent on the day of the visit. Removal is carried out once the agent approves it, since the cost normally falls on the service charge. The bin store is then swept and washed down.
  • Yes. Each building keeps its own specification and its own report, because leaseholders only want to see their block. The agent deals with one contact for the whole portfolio, which makes it simpler to add a building, change a frequency or raise a query.
