Retail facilities management in Leeds from shopfront to service yard

Shoppers judge a store before they reach the door. AD Facilities Management keeps shopfronts, glazing, car parks, service yards and back-of-house areas in order for retailers and centre managers in Leeds and across Yorkshire, with visits timed round trading.

Facilities management for retail in Leeds and Yorkshire

Retail premises are on show all day. A smeared window, a faded fascia sign or a car park scattered with litter is seen by every customer who walks past, and it costs footfall long before anyone complains. The store manager has targets, staff rotas and deliveries to think about. Upkeep of the building tends to be squeezed in wherever there is a spare hour, which is how small problems become permanent features.

The demands vary with the type of site. A unit on Briggate has a narrow frontage, a rear service lane and no land of its own. A retail park off the ring road has acres of tarmac, trolley bays, planting beds and a shared service yard. A shopping centre adds malls, toilets and public seating. Each needs a different balance of cleaning, glazing, grounds and waste work, so we write the schedule for the site in front of us.

A store or centre manager needs work done without it getting in the way of trade. That means glazing cleaned before doors open where possible, yard and car park work kept clear of delivery slots, and repairs carried out with the shop floor left presentable. Work outside trading hours is by arrangement and is agreed site by site. We confirm what is possible before the contract starts.

What store and centre managers ask us to take on

  • Shopfront glass, entrance doors and display windows cleaned often enough to stay clear of marks.
  • Fascia and signage washes so the name above the door looks as it did when it was fitted.
  • Cleaning of stock rooms, staff rooms, toilets and other back-of-house areas customers never see.
  • Service yards swept, bin areas kept in order and cardboard dealt with before it piles up.
  • Car parks, trolley bays and pedestrian routes kept free of litter, weeds and leaf build-up.
  • Small repairs to doors, flooring, shelving fixings and external fixtures reported by store staff.

How the services apply

Window cleaning

Shopfronts, canopies, entrance doors and fascia signs are washed on a cycle set by how busy the street is.

Commercial cleaning

Sales floors, fitting rooms, staff areas and customer toilets are cleaned to a list agreed with the store manager.

Waste management

Cardboard, general waste and recycling are organised in the service yard so collections run cleanly.

Grounds maintenance

Car parks, trolley bays, planting beds and boundaries on retail parks are litter picked and kept trimmed.

Reactive repairs

Damage to doors, floor finishes, bollards and external fixtures is reported, assessed and booked in with the store.

Building fabric repairs

Cladding, canopies, rendered walls and paving around the unit are repaired before they spoil the frontage.

How a contract is set up

1. Survey the unit or centre

We visit during trading to see how customers, staff and deliveries move through the site, then record the frontage, yard, car park and back-of-house areas that need attention.

2. Fit round trading hours

Tasks are given time slots that keep ladders, hoses and machines away from customers. Work outside trading hours is by arrangement and confirmed in writing for each site.

3. Coordinate with deliveries

Yard sweeping, bin store cleaning and waste collections are timed round the delivery schedule, so vehicles are not blocked and freshly cleaned areas are not immediately covered in packaging.

4. Seasonal adjustments

Frequencies are reviewed before peak trading periods such as Christmas and the summer sales, when footfall, litter and packaging waste all rise and the site needs more attention.

Retail: common questions

  • Both. A single shop usually needs its glazing, signage and back-of-house cleaning looked after, plus a handyman visit now and then. Retail parks and centres add car parks, service yards and landscaped areas. The contract is sized to the site, not the other way round.
  • Work outside trading hours is by arrangement. It depends on the site, the landlord rules and access to the unit, so we agree it with you case by case and put it in the schedule. Where it cannot be arranged, tasks are planned for the quietest trading periods.
  • Litter picking is scheduled at a frequency that reflects footfall and the mix of tenants, since food outlets generate far more than a furniture store. Bins, trolley bays, planting beds and boundary fences are all checked on each visit and the findings are noted.
  • We cover the city centre shopping streets, district centres such as Headingley and Crossgates, and the retail parks around the outer ring. Retailers with branches in other Yorkshire towns can have those sites added to the same contract and reported on together.
  • Each site has a named contact with us. Staff report the fault, it is logged, and the store manager is told how and when it will be dealt with. Mechanical items such as automatic doors and shutters are passed back to you for the relevant specialist.
